Planning a Leaner Transition from SAP ECC to S/4HANA

For many customers, the road to SAP S/4HANA is paved with hesitation and indecision, and this is especially the case when it comes to talking about the eventual go-live and the need for downtime. Concerns about massive data volumes and the high-costs of data migration tooling are certainly valid. Even the so-called 'simple' conversions can often come with many hours, if not days, of system unavailability and a heavy services bill... but is there a better way? In this blog we'll look at one such option to minimise downtime and clean-up data from SAP, which presents a realistic way forward for a good proportion of customer organisations.

SAP, in an effort to further streamline the road to SAP S/4HANA, have now introduced a powerful, cloud-based solution that helps tackle these exact issues - without the need for expensive or overly complex third-party tools. It’s called the SAP Business Transformation Center, and it’s free to use for customers with SAP Enterprise Support or via RISE with SAP.

This tool enables a more targeted, business-driven approach to data transition. One that reduces your data footprint, minimises disruption, and gives you complete control over what gets migrated and what gets left behind.

What Is the SAP Business Transformation Center?

Moving from SAP ECC to S/4HANA can feel overwhelming. Between data volumes, system dependencies, and tight timelines, it’s no surprise many organisations delay getting started. That’s where the SAP Business Transformation Center (BTC) comes in, which it’s designed to make this process simpler, smarter, and less stressful.

This cloud-based tool gives you control over your migration. It helps you decide what to bring and what to leave behind, so you're not carrying over decades of outdated or irrelevant data. Instead, you get a lean, focused path forward that reduces complexity, costs, and risks.

Using a guided workflow, BTC helps teams:

  • Analyse system usage and data volumes to understand what is really being used

  • Define migration scope using business logic (e.g. company codes, fiscal years)

  • Create a Digital Blueprint for governance and decision-making within your plan

  • Model, test, and execute migrations in controlled cycles

Included in SAP Enterprise Support, RISE with SAP, and SAP Cloud Service subscriptions, it delivers enterprise-grade tooling without the enterprise-grade price tag.

Planning a Lean Transition

Let’s be honest, even a so-called "simple" SAP brownfield conversion can turn into a complex undertaking. We regularly speak to customers in industries like retail or manufacturing where downtime isn’t just inconvenient, it’s unacceptable! When operations run 24/7, any migration that risks hours (or even days) of disruption becomes a major blocker.

That’s why planning a lean transition is more than just a nice-to-have, it’s a critical success factor. SAP’s Business Transformation Center helps you address this challenge head-on by letting you reduce the volume of data that needs to move, which in turn means faster cutovers, fewer complications, and a smoother path to go-live.

And there's another reason this approach matters: data relevance. As more businesses adopt AI-driven insights and automation, the quality of your foundational data becomes even more important. Migrating old, redundant, or divested data doesn’t just slow you down, it pollutes the very systems you're trying to improve. With the Business Transformation Center, you gain precision control over what to take with you, and what to leave behind.

Most importantly, this process doesn’t require any third-party software to be installed in your environment. All you need are some SAP-supported data collection reports, and you’re ready to start analysing your landscape directly through SAP Cloud ALM, making this one of the most accessible and cost-effective transition options on the market today.

Here’s why this approach deserves your attention:

  • Minimise Data Migration: Leave behind non-essential data like divested business units, legacy records, or outdated transactions. Move forward with only what’s relevant and valuable.
  • Accelerate Go-Live and Minimise Downtime: By cutting down data volumes, you reduce cutover time, a game-changer for high-volume businesses where time really is money.
  • Reduce Cost and Complexity: Traditional selective data transition tools can cost hundreds of thousands (or even millions) to license and implement. SAP Business Transformation Center offers a simpler alternative, purpose-built for less complex migrations.
  • Perform Strategic Housekeeping: Think of this as your chance to tidy up. This is not just a system migration, it’s a data reset, helping you build a cleaner, more agile foundation for your future SAP landscape.

The Migration Journey

SAP Business Transformation Center structures your transition into three key phases:

  • Scoping: Upload analysis files from your ECC system, define which company codes and data ranges to migrate, and apply Org/Time Slice filters.
  • Modelling: Build a transformation model with rules and filters. The Digital Blueprint helps track what’s included, what’s excluded, and why.
  • Cycle & Execution: Test and run your data cycles, validate transformations, and go live with a clean, optimised S/4HANA system.

Throughout, you maintain visibility and control over what’s being moved, how it’s structured, and when it happens, all without a disruptive, all-or-nothing approach.

The Power of Selective Transition

One of the most powerful features in SAP Business Transformation Center is the ability to exclude data you no longer need. This is made possible through two built-in “solution patterns”:

Time Slice: Leave Old Data Behind

Time Slice allows you to exclude transactional data before a defined fiscal year, giving you full control over your historical footprint. For example: Would you like to keep only the last five years of operational data? Time Slice makes that easy. It uses your company code’s fiscal year variants to set a key date, and any closed transactions before that date stay behind in the SAP ECC.

Benefits:

  • Reduce database size in the target system

  • Improve post-migration performance and analytics

  • Avoid unnecessary errors from outdated records

  • Simplify reconciliation during testing and go-live

All master data and open transactions are still migrated, so there’s no risk of losing what’s still relevant.

Org Slice: Exclude Non-Business-Relevant Units

Org Slice allows you to selectively exclude data from specific company codes, plants, or other organisational units.

Let’s say you’ve sold off a business division, or you no longer need historical data from a closed region, you can exclude it from your S/4HANA environment with just a few configuration clicks.

Benefits:

  • Focus the migration on active business areas

  • Reduce licensing costs and audit risks tied to unused data

  • Avoid carrying over “dead wood” into a new system

Both patterns are easily configured in the Digital Blueprint phase, which provides clear visual dashboards, data hints, and scope management tools.

Is this the right approach for you?

This approach is ideal if:

  • Your ECC system is relatively stable or lightly customised

  • You’re looking for a cost-effective alternative to expensive and over-complicated third-party migration tools.

  • You’re ready to clean up and modernise, not just copy the past forward

  • You have non-business-relevant or divested data you no longer want

It may not be the right fit for highly complex, heavily integrated landscapes, but for mid-sized, focused transitions, it delivers clarity, control, and cost-efficiency.

At Rapid X, we guide our customers through Lean Selective Data Transitions using SAP Business Transformation Center using SAP Cloud ALM and help you:

  • Scope what matters, and leave behind what doesn’t

  • Build and manage your Digital Blueprint

  • Define and apply time and org slices effectively

  • Prepare for cycles, dry runs, and final deployment

You don’t have to overthink it or break the budget. We're here to guide you through a smarter, faster, and leaner SAP transition.
